dc.descriptionClassification is the key element of records management (RM) initiative: it ensures systematic organisation of documents and facilitates information retrieval. The RM initiative is based on life cycle concept, which comprises of creation, usage, maintenance (classification and organisation), appraisal and disposal. However, classification system is not prevalent in RM compared to its use in other information field like library; in fact, they differ in terms of applications and connotations. Although classification is crucial for disposal purposes, but research in the application of the concept for disposing records is still scarce as the available studies concentrated on the earlier part of the records’ life cycle - the storage and retrieval. This study investigates classification from RM perspective by adopting the qualitative and case study approach on Department of Syariah Judiciary Malaysia as the research strategy. Data were gathered from multiple sessions of open-ended interviews and document analysis. The study discovered that the implementation of functional records classification for electronic records have yet to be imposed, while the classification plan for conventional records is still under development. Analysis on 20 records classification models confirmed that all models discuss the activities of records’ life cycle in general, and they are conceptual in manner. Although three models focus on classification, only two are functional record classification models. The first two model covers the entire processes of RM while the second focuses only on records creation without depicting the function of classification. Therefore, this study aims to develop a functional model for records classification, one that could be referred in both the RM and the information technology (IT) fields due to neglecting of classification from RM perspective in current RM system development. Such a model is required because currently the incorporation of information and communication technology (ICT) in managing records is inevitable. The concept of classification from RM perspective ought to be extended to ICT team to enable the development of a RM system which does not only limit to only storage and retrieval functions but also covers the disposal and preservation process.
